In contrast to the excitement of our usual hot-off-the-press technology enhancement releases, solution case studies, etc., I’m here to extol the virtues of Microsoft Teams (always, but in this case specifically) in the questionably unappealing – depending on your viewpoint – yet key activity of Business Proposal creation. Stay with me! 😉
Challenges and Solutions
I’ve gathered below some key challenges in creating business proposals and how Microsoft Teams can address these issues. Furthermore, I’ve provided examples of how the Sales team within our organisation utilise these features to effectively generate reliable, informative, and competitive sales responses.
1. Coordination Across Teams
Challenge
Coordinating input from various departments and colleagues (e.g. Sales, Technical, Legal, etc.) can be time-consuming and prone to miscommunication.
Solution
Microsoft Teams channels provide a central space where all team members can collaborate, share documents, and communicate per opportunity.
In practice
Our Sales team can efficiently coordinate and collate technical input from our consultants, project plans from our PMO, and other required content right across all our teams, and thanks to External Sharing, we can include our trusted partners too. The Teams Channel is a roll-up of – or roadmap to – everything relating to a particular Opportunity and ensures everyone is aligned.
2. Document Management
Challenge
Managing multiple versions of documents and ensuring everyone is working on the latest version can be chaotic.
Solution
Teams integrates with SharePoint and OneDrive, allowing for seamless document sharing and reviewing.
In practice
Whilst not new, these sharing and co-authoring capabilities are indispensable! They enable multiple colleagues across the organisation to work simultaneously and seamlessly on a single document, presentation, or spreadsheet. Furthermore, version control ensures that everyone is working on the most up-to-date document.
3. Meeting Deadlines
Challenge
Keeping track of deadlines and ensuring timely contributions from all team members can be challenging.
Solution
Teams allows you to set up calendar events, reminders, and task assignments directly within the channel.
In practice
For us this ensures that all members of our Bid Team are aware of key deadlines and their responsibilities. They have oversight of where we are in the process and what’s going on, even if they’re not required to be directly involved in each step.
4. Approval Processes
Challenge
Getting timely and formal approvals from stakeholders can delay the proposal process.
Solution
Teams integrates with tools like DocuSign and Microsoft’s eSignature, streamlining the approval process.
In practice
The digital signature approval process is streamlined, with secure and compliant content stored in SharePoint. This allows us to promptly initiate the next steps in our Operations handover upon receiving formal acceptance from our customer. (Stay tuned for more on this from us as Microsoft eSignature is released in the UK!)
5. Communication Gaps
Challenge
Mis-communication, or lack thereof, can lead to errors and misunderstandings.
Solution
Teams offers chat, video calls, and threaded conversations, making it easy to communicate.
In practice
How refreshing not having to trawl through Outlook, or one-to-one Chat, to find messages, attachments and links relating to a particular Sales Opportunity. It’s all clearly and easily navigable via the Teams Channel, making it easier to keep track of discussions, and reducing the risk of miscommunication.
6. Resource Allocation
Challenge
Allocating the right resources and ensuring their availability can be difficult.
Solution
Teams integrates with Power Apps and other Microsoft 365 tools to manage resource requests and allocations.
In practice
All activities requiring significant contribution from the Intelogy Operations team, including pre-sales technical input, resourcing requests, project handovers, and delivery lead time indications, are efficiently coordinated through our PMO Request Microsoft Power App. This ensures the right people are available when needed.
7. Knowledge Sharing
Challenge
Ensuring that all team members have access to relevant information and past experiences can be difficult.
Solution
Teams channels can house a knowledge base, making it easy for team members to access valuable information.
In practice
Lessons learned, best practice guidance, standard Word, Excel and PowerPoint templates (via our Template solution), Policies and Procedures, standard content excerpts, staff bios etc., are all available in SharePoint, as is all other collateral relating to our Opportunities. It’s easy to share and access valuable information.
On a personal note, it’s hugely satisfying having the assigned Bid Team unite in a Teams channel. Participation, contribution, and good-natured repartee is of course expected, and provokes a genuine team spirit amongst colleagues, whether we are desks, or miles, apart!
Additionally, we now also have the added excitement of a new team “member”, Microsoft Copilot, already making an impact by streamlining initial lead qualification, summarising large tenders, and managing meetings efficiently.

So, in summary, combining the skills, expertise, and knowledge of our commercial and technical specialists with our rigorous processes, and the power of Teams and other Microsoft 365 solutions to streamline business processes, Intelogy is efficiently creating high-quality sales responses for our customers.
