Transaction Application for a leading Investment Management firm

This UK-based Investment Management firm looks after a multi-billion-pound fund and works to maximise its investors capital over the long term. This fund is a diverse, global allocation of assets that has experienced considerable growth since its inception in 2009.

As part of its asset management activities, the Operations team coordinate a series of detailed investment transaction checks whenever taking action on owned or prospective assets of the fund. These activities ensure that a given course of action conforms with the firm’s robust internal and external requirements and restrictions. An internal matrix is consulted to determine the applicability of certain checks dependent on both the nature of the investment as well as the intended action.

This process, though effective, came with significant administrative responsibilities for the Operations team, who had to manually collate and record the outcomes of these checks and store any relevant evidence documentation provided. The Investment Manager, who at the time already successfully operated several other applications and automations in the Microsoft Power Platform suite, identified a prime opportunity to unlock similar efficiency for their transaction processes, and consulted Intelogy to help devise and deliver this solution.

The outcome of this engagement was a highly functional and efficient Power Platform solution, consisting primarily of a central model-driven Power App, a series of interconnected Power Automate flows, and several bespoke additions and custom functionality. The driving philosophy behind our delivery was to empower the Operations team to own this solution as much as possible, and to this end we employed a robust ‘template’ model whereby the Operations team are fully in control of the core investment transaction process and its data.

” The Intelogy project team were professional, responsive, and creative throughout the project. They took the time to ensure they thoroughly understood our needs and expectations and have delivered a solution that met them well. The app has received positive feedback from the team: it has removed the need for several manual and duplicative process, provides a much clearer overview of the status of each transaction in progress, provides a clear audit trail, and affords the flexibility to be easily adjusted as processes change in the future.”

The firm tracks several distinct types of investment, each of which have several corresponding types of transaction, and each such unique pairing requires a different inventory of tasks to be completed. Tasks may be associated to one or multiple type pairings, and added, removed, or updated over time. Tasks must enforce the collection of different data-types; completing a task may require a date to be provided, a selection from a series of predefined choices, a detailed text response, or one of several other response formats. Each task must allow one, multiple, or no files to be uploaded against it.

It is imperative that each transaction process be performed consistently and reliably, and that participation therein be a seamless, straightforward user experience. Given this, it is clear to see how performing, managing, overseeing, and maintaining this process, against the backdrop of a successful and growing fund, was a significant investment of time for the Operations team.

Solution overview

Intelogy wanted to provide the firm with a solution to centralise the performance of the investment transaction checks, automate administrative tasks, and provide a modern, easily understood tool to operate internally to alleviate pressure on the Operations team.

A programme of discovery efforts occurred between our consultants and the Operations team which sought to fully explore and understand the business-level requirements. Over the course of several workshops, we detailed, documented, and defined the scope of our prospective solution.

With ongoing collaboration, we converted the identified requirements into a formalised solution design and technical specification documents.

In adherence to best practice guidelines, three distinct environments were provisioned to support a phased, iterative development cycle. The centrepiece of the build effort was a model-driven Power App, designed around the firm’s requirements and business practices to coordinate and support the investment transaction process. The application was supported by several bespoke assets, including a small number of Power Component Framework (PCF) components, Power Automate flows, and JavaScript web resources to deliver the smoothest and most familiar user experience possible for the team. As sprints were completed and build milestones were met, aspects of the solution were made available to the team in order to provide feedback, which was addressed in subsequent sprints.

Throughout the build process, there was a specific emphasis on ensuring that the solution not only addressed the immediate requirements but was also constructed in a manner highly conducive to future extensibility, expansion, and integration with other applications and services. This included incorporating direct integrations with both SharePoint and Microsoft Teams, including the automated provisioning and management of dedicated folders and channels, to enable them to take full advantage of the superior document management, communication, and collaboration functionality of these respective tools.

The application was designed to be as transparent and easily managed by the team as possible. To this end, transaction records retained timelines of time-stamped notes and activities, including those created by automations and those manually created by users. Business Process Flows were also employed, the stages of which were aligned to the business stages of the investment transaction process, and bespoke logic was introduced to ensure that moving forwards or backwards across these stages invoked all corresponding automated logic. Admins were provided with a dedicated experience to view, maintain, update, and create new templates for the transaction process to use, such as new tasks, investment types, or transaction types.

Client Benefits / Results

By introducing an automated, centralised system, the extent to which direct, manual input from the Operations team is required to consistently prepare, maintain, and coordinate tasks and activities has been greatly reduced. This enables the team to dedicate a greater proportion of time towards other important responsibilities with no compromise to the rigorous series of checks performed on each transaction.

Because of the highly formulaic, templated design that Intelogy employed when constructing the investment Transaction Application, the overall process can now be easily self-maintained and updated directly via a dedicated administrative section. In addition, the broader solution itself has been designed with future extensibility and expansibility in mind, providing several clear future directions for additional functionality, integration with other applications or services, and working alongside and supporting parallel solutions of similar design.

The Intelogy team have been very proud to work alongside this client in realising the next chapter in their Microsoft’s Power Platform journey.
