What is Copilot Studio

Microsoft’s low-code platform for building AI agents

Copilot Studio is Microsoft’s low-code option for designing, building, and managing AI agents. From a single platform you can build conversational agents that answer questions and guide users through tasks, autonomous agents that plan and act with human oversight on the decisions that matter, and voice agents that handle calls in real time.

What we help with

Business challenges we solve with Copilot Studio

Most engagements originate from one of the challenges set out below. Each panel summarises the work we typically undertake to address it.

Unclear where agents will deliver value

Organisations recognise that agents are a strategic priority but lack a clear view of where they will deliver tangible benefit, which functions stand to gain the most, and what the realistic scope of an initial investment should be.

How we help

  • A grounded view of what Copilot Studio agents can and cannot realistically do today.
  • Candidate use cases identified across business functions through structured workshops.
  • Each candidate assessed against value, feasibility and readiness.
  • A prioritised roadmap sequenced against business outcomes.

Time lost searching for answers across systems

The information needed to do a job sits across handbooks, intranet, ticketing systems, CRM, and inboxes. People spend time searching, get inconsistent answers depending on who they ask, and rely on the colleagues who happen to know where things live. Agents let any employee ask in plain language and get a grounded, traceable answer.

How we help

  • An agent that draws on the systems where your knowledge actually lives.
  • Embedded access in Teams, SharePoint, and the apps people already use.
  • Citations and source links on every answer.
  • Existing permissions and sensitivity preserved through to each user.
  • An architecture that takes on new sources without rebuilding.

Service desks handling high volumes of repeat queries

Service-facing teams allocate a substantial proportion of their capacity to recurring questions, routine tickets, and standard approvals, internal or customer-facing. An agent picks these up where they land, answers and actions what it can, and hands the rest to a person with the context already gathered.

How we help

  • An agent at the front of the queue in Teams, the portal, or wherever queries arrive.
  • Answers grounded in your knowledge bases, policies, and prior tickets, with citations.
  • Routine requests such as leave bookings, status checks, and approvals actioned in the relevant systems, with the result returned to the requester.
  • Escalation to a person for the queries that need judgement, with full context handed over.
  • Reporting on volume, deflection, and escalation reasons.

Processes too dynamic for traditional automation

Rule-based workflows assume work arrives in a known shape through a known channel. Agents meet the work where it actually lands – whether an email, a spreadsheet, or a free-text request – interpret it on its merits, and action it in your business systems.

How we help

  • Work taken in the form it actually arrives, without a portal or form in front of it.
  • Intent, context, and missing details interpreted on the merits of each request.
  • Actions executed in line-of-business systems against your business rules.
  • Human review on the cases where confidence is low or the decision warrants it.

Time lost processing inbound content

Reading inbound documents, extracting what matters, and getting it into the right system is some of the most time-consuming work in an organisation. Agents take on the heavy lifting for each item, so the work that reaches your team is the work that genuinely needs them.

How we help

  • Inbound items read and the relevant details placed into your business systems without re-keying.
  • Long documents, transcripts, and correspondence summarised as briefs shaped to each reader.
  • Records classified and routed by content, put in the right place without manual filing.
  • Standards and compliance checks applied as content arrives.
  • First drafts of new documents prepared from the same source materials and systems the team would consult.

Insight locked behind pre-built reports

Reports are useful, but they only show the answers someone thought to include in advance. Real users often ask questions that cut across different data categories or require follow-up exploration. Agents connected to the underlying data can answer those questions directly, on-demand.

How we help

  • Plain-language questions answered on demand, including multi-dimensional and relationship queries.
  • Embedded in the apps users already work in.
  • Responses shaped to the question, as a written explanation, comparison table, or chart.
  • Existing permissions and sensitivity preserved through to each user’s view.
  • Built on Power BI semantic models, Dataverse, or line-of-business sources already in place.

AI adoption moving faster than governance

As agents begin to access organisational data and perform actions across systems, the associated governance, identity, and assurance questions become material. Where these are not addressed in a structured way, unmanaged use tends to fill the resulting gap.

How we help

  • Environment strategy, Data Loss Prevention, identity, and access controls.
  • Source control, controlled release pipelines, and lifecycle management.
  • Run-time monitoring, usage analytics, and Responsible AI documentation.
  • A defined operating model covering build authorisation, data access boundaries, and review processes.

Pilots now used in live operations

Implementations built as proofs of concept are increasingly relied upon for live business use, despite having been engineered for evaluation rather than sustained operation. Targeted re-engineering is required to bring them to a supportable standard.

How we help

  • A structured diagnosis of behaviours, quality issues, and grounding gaps surfaced in operation.
  • The agent moved onto a governed foundation, with design intent and existing components preserved.
  • Source control, environment separation, and automated regression testing in place.
  • Grounding re-established against authoritative sources with appropriate access controls.
  • Run-time monitoring, support arrangements, and lifecycle management.

Where teams start with us

Find the right entry point

Most engagements start at one of four points, depending on where you are with Copilot Studio today.

Microsoft-funded discovery, proofs of concept, and pilots

As a Microsoft Solutions Partner, we can access partner-led investment programmes that, for qualifying customers, offset the cost of early-stage Copilot Studio work, including discovery workshops, envisioning, proofs of concept, and pilot deployments.

Eligibility depends on organisation size, the AI workloads being targeted, and your existing Microsoft 365 estate. The fastest way to find out what is available is to get in touch. We confirm what applies to you before any commitment is made.

How we deliver

A Copilot Studio engagement, end to end

Why Intelogy for Copilot Studio consulting

Copilot Studio experts with the judgement to advise and the depth to deliver

Selecting a Copilot Studio partner involves a range of considerations: who will be in the room throughout the engagement, what they bring beyond the product itself, how the agent will be grounded and governed, and how the work will hold up under scrutiny once in production. The points below set out the considerations our clients raise most often, and the approach we take to each.

Intelogy staff with Business Applications Accreditation badge

Same people, start to finish.

UK-based consultants design, build, hand over, and support every agent, with the same team in place throughout the engagement.

The right tool for the job.

Copilot Studio is rarely the complete answer in isolation. We combine it with the Power Platform, Microsoft Fabric, and Microsoft Foundry as the requirements of the use case dictate, and provide a clear view where the requirement would be better met by a workflow, an application, or an alternative approach rather than an agent.

Recognised Microsoft specialisations.

Solutions Partner for Business Applications, with Specialist designations in Intelligent Automation and Low Code Application Development.

Proven in regulated sectors.

Designed to hold up under the information governance reviews, DPIAs, and audit scrutiny our public sector and regulated clients work to.

Grounded in your knowledge.

Answers are drawn from your authoritative sources: Work IQ content such as SharePoint, Dataverse, and Dynamics 365 data, and third-party or line-of-business systems reached via Power Platform connectors and custom APIs.

A human in the loop where it matters.

Approvals, exceptions, and manual overrides sit on the actions that need a person, not on every interaction.

Rigorously tested before release.

Agents are validated against expected use, edge cases, alternate phrasing, misuse, and adversarial inputs before go-live, with run-time analytics and monitoring in place once in production.

Governed through Microsoft Agent 365 and Responsible AI.

Each agent has an Entra Agent ID and can be managed alongside users with Defender, Purview, and Intune controls, and is designed in line with Microsoft’s Responsible AI principles.

Agent building tools

Copilot is the UI for AI

Microsoft 365 Copilot is the interface your people already use to work with AI. Behind it sit three tools for building the agents that extend it, each pitched to a different audience: from no-code through low-code to pro-code. Copilot Studio is the low-code option, designed for business teams who need governed, enterprise-grade agents grounded in their own data.

The table below sets out where each tool fits, and when Copilot Studio is the right choice. In practice, these tools are all part of the same Microsoft AI ecosystem, and most enterprise strategies draw on more than one to complement each other.

Frequently asked questions

Have a question that isn’t covered here? Book a free Agent Triage and we’ll answer it directly against your use case.

What kinds of agents can you build with Copilot Studio?2026-05-28T12:13:45+01:00

The right answer sits on a spectrum. Some agents are well-grounded conversational assistants answering questions from your knowledge sources, which is the right shape when that is what the use case needs. Others reason over data, take actions across line of business systems, or run autonomously on triggers with a human in the loop on the decisions that matter. We help you choose where on that spectrum each use case should sit, and build to suit.

What do we need in place before we start?2026-06-09T18:51:30+01:00

Less than most teams expect. The essentials are a clear use case with an owner on your side, sensible data hygiene in the systems the agent will draw on, and a view on which Microsoft 365 environment the agent will sit in. Licensing, governance ownership, and any Data Loss Prevention arrangements are typically confirmed as part of discovery rather than blockers to it. Where any of those need work, we will say so plainly and shape the early engagement to put them in place, frequently with Microsoft partner-led funding offsetting the cost. A free Agent Triage is designed exactly for this: an honest readout on what is and isn’t in place before you commit to building anything.

How long does a Copilot Studio engagement take?2026-06-09T18:51:11+01:00

A focused agent answering questions from a defined knowledge source typically reaches a first release in two to four weeks. Agents that take actions across line of business systems, with proper governance and lifecycle controls in place, usually run as phased deliveries over one to three months depending on scale and complexity. The variables are data readiness, integration scope, and the level of process change involved. We confirm timelines after a short discovery rather than guess up front.

How much does it cost to build and run a Copilot Studio agent?2026-06-09T18:50:55+01:00

There are two cost lines to think about. The first is consumption from Microsoft — how much it costs for your users when they run agents — which depends on whether they are licensed for Microsoft 365 Copilot, whether you opt for pre-paid Credit Packs or configure Pay-as-you-Go. The second is delivery, covering design, build, and governance. For early-stage work we publish three fixed-price packages: a free one-hour Agent Triage, a £3,000 Agent Analysis of an existing agent, and a Tune-up from £3,000 to £8,000 depending on scope. Full custom builds are scoped after discovery. For eligible organisations, Microsoft partner-led funding can offset a meaningful share of early-stage work; we confirm what applies before any commitment is made. The fastest way to a real number for your use case is a free Agent Triage call.

How do you make sure the agent gives accurate, safe answers?2026-06-09T18:50:12+01:00

Answer quality is engineered in from the start, not added afterwards. Each agent is grounded in your authoritative sources, with existing permissions and sensitivity labels carried through to the response so users only see what they are entitled to. We build with Copilot Studio test sets and conversational evaluations that exercise expected use, edge cases, alternate phrasings, misuse, and adversarial inputs before go-live. In production we apply human-in-the-loop oversight on the decisions that warrant it, run-time monitoring of behaviour and usage, and Responsible AI documentation aligned to Microsoft’s principles. Where an agent is uncertain, it cites a source or escalates to a person rather than guesses.

Is Copilot Studio secure? Where does our data sit?2026-06-09T18:49:50+01:00

Copilot Studio runs inside your Microsoft 365 tenant. Data stays within the boundary you already trust for the rest of your Microsoft estate, governed by Microsoft Entra for identity, Microsoft Purview for sensitivity and Data Loss Prevention, and Microsoft Defender for threat protection. Each agent operates with an Entra Agent ID, so it can be managed, audited, and decommissioned alongside your users. Grounding respects existing permissions and sensitivity labels through to the agent’s response, meaning users only see what they are entitled to. We design the environment, identity, and DLP arrangements up front so the agent is enterprise-ready from day one, rather than retrofitted later.

Do you work with NHS, government, and regulated organisations?2026-06-09T18:49:13+01:00

Yes, and a substantial share of our work sits there. We are G-Cloud listed and routinely deliver into UK public sector, NHS, financial services, and other regulated environments. Our agents are designed to hold up under information governance reviews, DPIAs, and audit scrutiny, which is the standard our regulated clients expect. Each agent runs with an Entra Agent ID and is managed alongside your users with Defender, Purview, and Intune controls, and Responsible AI documentation is maintained as part of the build rather than retrofitted. If you have a specific compliance question, the Agent Triage is a good place to put it to us directly.

What happens after go-live? Who owns and maintains the agent?2026-05-28T12:22:11+01:00

Hand-over is built into the engagement from the start. Your team receives the agent fully documented, with run-time analytics and monitoring in place and a clear support model agreed up front. That can be ongoing managed support from Intelogy, in-house ownership with us on retainer for incidents and enhancements, or a structured transfer to your own makers with enablement. The same UK consultants who design and build the agent are available to operate and evolve it, or to train your people to do so.

How do we go from a pilot to multiple agents across the organisation?2026-06-09T18:48:09+01:00

Moving from a successful pilot to a managed portfolio of agents is a different problem from building any single agent. It requires an operating model that the organisation puts in place: environment strategy, build authorisation, component reuse, lifecycle controls, and a team that owns them. Many organisations formalise this as a Copilot Center of Excellence. We recommend establishing it alongside the early builds rather than retrofitting it later, so that the second, fifth, and twentieth agent benefit from what was learnt on the first, and adoption scales deliberately rather than as shadow AI in the gaps. For organisations already several agents in, we run a focused review of what is in place and where to invest next.

When is Copilot Studio not the right choice?2026-06-09T18:47:02+01:00

Copilot Studio is not the right tool for every use case, and we are direct about that. Requirements involving sophisticated retrieval, bespoke document processing, or specialist orchestration beyond Copilot Studio’s native capabilities are typically better suited to Microsoft Foundry. Genuinely deterministic work is generally more cost-effective and reliable as a Power Automate flow than as an agent. Where the underlying business process is itself flawed, no agent will resolve the issue; the appropriate first step is to address the process. Every engagement includes an honest assessment of whether Copilot Studio is the right platform for the requirement, including cases where it is not.
